Position: Temporary
To undertake a PA service including diary managament, arranging meetings and taking minuetes. General admin durties, taking responsibility for downloading emails/ opening post and dealing with matters as appropriate including initiating and replying to correspondence, taking telephone calls, transferring messages, maintaining the electronic and manual filing system efficiently, photocopying documents and organising the payment of travel expense.
- To follow up on a wide range of issues arising from correspondence, meetings and direct allocation of projects and tasks, through personal visit, telephone or correspondence and where possible proposing solutions.
- To organise workshops or Facilities Away Days including booking rooms, catering, presentation equipment, liaison with presenters, drafting programmes and on the day event management.
- Preparing material slides and presentations for meetings /Away Days using various software packages.
- Manage and oversee the workload of the Facilities Administration Assistant on a day to day basis – including co-ordinating annual leave to ensure that adequate cover is maintained at all times, undertaking performance reviews, selection and recruitment, and ensuring adequate training is given, to develop individuals to their full potential.
Qualifications Required
- MUST have a DBS
- At least 3 years working as a senior PA in a busy office for an organisation
- Experience of working in an executive team environment supporting individual projects and administration
- Experience dealing with the public, Senior Managers both on the telephone and in person
- Knowledge of a full range of administrative and organisational policies and procedures
